    BRTRC Federal Solutions is seeking an Executive Administrative Support to provide support to our government customer in Crystal City. 

    The ideal candidate will be ambitious, organized, detail-oriented, self-motivated, and deadline-driven with a positive attitude and the ability to multi-task.


    The candidate shall provide expert level administrative support for senior executives and must be highly proficient with Microsoft Office Suite applications. The candidate should have general knowledge and experience in office management. It is also essential that the candidate have the ability to provide administrative support for meetings, correspondence, and gathering background information to support senior officials' attendance at meetings. Administrative support activities include but are not limited to:


    •  Maintain the calendars of office personnel, coordinate the daily activities, and travel schedules to resolve conflicting priorities and requirements and ensure support for attendance at high profile meetings.  Provide a daily read-ahead book with information for the next day and next week activities for the USD (R&E) prior to the end of the duty day.
    •  Must have strong writing and editing skills.Prepare formal, official correspondence based on drafts from senior level persons in the office. The memos and other documents shall comply with the USD (R&E) correspondence guide and other standards established for the office and shall be appropriate for senior level Government officials. Assist in preparing required reports and presentations. 
    •  Required to answer the telephone and refer the calls to the appropriate individuals within the office. The administrative staff will serve as the interface with the public whenever there are inquiries concerning the office, including the greeting and escorting of high-level officials. 
    •  Responsible for coordination of office administrative functions including office security administration, office space management, processing security clearance and visit requests for OUSD(R&E) personnel and visitors, scheduling office events and ordering supplies. All contractors should have experience in administrative support and working knowledge of DoD security procedures. 
    •  As required,process incoming mail, including e-mail and facsimile, route correspondence to the appropriate individual(s) in the office for response and tracking actions. 
    •  Maintain accountability of files and correspondence in the office, both in electronic and in paper form IAW WHS Administrative Instruction (IA) 15 and R&E work flow and process Standing Operating Procedure (SOP). The files should be archived appropriately and accessible whenever the need arises to find historical documents. 
    •  Plan, coordinate, and confirm logistical support (transportation, badges, security clearance paperwork, audio visual support, and etcetera) for meetings held in conjunction with the OUSD (R&E) activities.  Perform administrative and logistic tasks in support of U.S. and international travel by OUSD (R&E) staff including all travel and logistical arrangements:  The contractor must be proficient with the Defense Travel System (DTS) and MilAir procedures, and responsible for processing travel requests, arranging accommodations and reimbursement of expenses in accordance with the Joint Travel Regulations (JTR).  Prepare country clearances; establish host country points of contact to include embassy financial administrators and overall logistics support; coordinate with the US Embassy (as appropriate) and organize all meeting, in-country logistics, flight, hotel, and rental car reservations; coordinate of all IT/communication equipment; draft reports and thank you correspondence.  As required, identify the official protocols/procedures for the destination country; acquire the appropriate official gifts; prepare read-ahead materials, meeting documentation.
    • Perform other appropriate duties as assigned in an office environment


    • A minimum of ten (10) years' of recent and relevant experience is required. 
    • Experience and skills in providing Executive Level Administrative Assistant support to high-ranking Federal Government Senior Executive or DoD Flag / General Officers is highly preferred.
    • A Bachelor’s degree from an accredited college or university is required.  At the discretion of the Government, specialized experience including military or industry executive assistant experience may be substituted in lieu of specific educational requirements.
    • Current DoD security clearance is required.
