Overview

BRTRC, a government contractor specializing in the Department of Defense, is seeking a qualified Business Operations Support Specialist in support of a DoD client. This is a full-time, onsite opportunity located at Aberdeen Proving Ground, Maryland. The candidate will support a Division Director, Deputies and staff in performance of office or non-manual work directly related to the management or general business operations of the division.  This position requires an individual who can adapt to a fast-paced, team-oriented environment. Organization, accountability, flexibility, and ability to work independently are essential qualities for success.

Responsibilities

  • Execute independent decisions within established guidelines and perform a full range of business operation services, including being the Front Office administrator to greet visitors; managing a dynamic online calendar and organizational hierarchy; arranging meeting logistics and invitations to include conference calls with senior management and external organizations; support office equipment and IT systems; process logistical work orders; organize and maintain filing systems and records management; review office e-mail and message traffic for internal routing; organize the preparation formal scientific publications among other duties.
  • Exercise discretion and independent judgment when receiving foreign and domestic dignitaries and senior military personnel. Coordinate across agency to support the development of tours, meetings, engagements with senior government researchers.
  • Receive, review and forward security clearance requests for frequently visited locations for the Division Office and for the branch offices. Work closely with agency security elements to provide the required information while using discretion and independent judgment when handling Personal Identity Information (PII). Independently track and submit secure container combination changes for the branch offices as required and ensure end of day security check roster is completed appropriately. Manage the Form-1 process (preparation of Public Affairs approval for publications) for the Division.
  • Complete expense and travel orders online for senior personnel using government systems for all staff, support complex travel arrangements, and serve as the team expert on matters pertaining to administrative procedures.
  • Support the fiscal accountability of resources through expert use of the Army Time and Attendance Business systems. Verify time and attendance for Division personnel and branch offices. Maintain time and attendance files including timesheets and leave requests. Reconcile leave and overtime report with timesheets and ATAAPS entries. Exercise discretion and independent judgment when reviewing available funding levels and recommend specific accounts to leadership for use using the First In, First Out (FIFO) methodology.
  • Assist division leadership in planning, tracking, and reporting budget activities and status of funds. Exercise discretion and independent judgment when consolidating information and synthesizing data to provide leadership an accurate accounting and status of funds. Support the development and preparation of reports, funding documents and inputting information into the General Fund Expense and Budgeting System (GFEBS)
  • Support the Director and staff in organizing, planning, scheduling all technical interchange meetings and events.
  • Attend all required ARL training (ie: Total Employee Development (TED) training, fire marshall etc..). Attend seminars and courses to improve skills and knowledge. Support ARL's diversity initiatives by participating in locally sponsored diversity training and special emphasis programs.

Qualifications

  • 0-2 years of administrative skills and experience
  • Excellent knowledge of MS Office Suite with demonstrated experience
  • Exceptional communication skills, both oral and written, with the ability to effectively convey information across all organizational levels
  • Strong customer service focus
  • Active DoD security clearance required
